How to Make a Text Message Transcript

A text message transcript lists every message in order with its date, time and sender, as text rather than images. The Messages app on iPhone can’t produce one by itself. You can forward or screenshot messages for free, or print a conversation from a Mac, but for a real transcript file you need to export the conversation to a text or Word document.

What a good transcript contains

A transcript is useful when someone else has to follow the conversation without your phone in their hand. Each message should show:

  • the date, because “Tuesday” means nothing six months later;
  • the time, to show order and gaps;
  • the sender, by name, on every message;
  • the full text, unedited;
  • a note of attachments, so a missing photo isn’t a mystery.

A title and the date range covered at the top help too. A pile of screenshots shows the same information, but nobody can search it, copy from it or quote it easily.

Free options on iPhone, and what they lack

Apple gives you two ways to send messages on, and neither is a transcript.

Forward messages. Touch and hold a message, tap More, select the messages you want, then tap the forward button and send them (Apple: Forward and share messages on iPhone). The recipient gets the messages as new messages, not a record of the conversation.

Send screenshots. Apple’s own tip on the same page: to show the bubbles and timestamps as they appear in the conversation, send a screenshot instead of forwarding. If your messages sync to a Mac through Messages in iCloud, open the conversation in Messages, choose File > Print, and use the PDF menu at the bottom of the dialog to save a PDF (Apple: Print or create a PDF of a conversation, macOS Sequoia guide). Menus can differ on later macOS versions.

You get a printable copy of the conversation, but it’s a PDF of the chat view, not a line-by-line transcript you can edit.

Make a transcript on your iPhone with Exportly

  2. Open the export sheet. Tap Export Chat. Under Messages, keep All or choose Date range to limit it to the days you need.

    • Text for a plain .txt file;
    • Word with Chat bubbles off for an editable document;
    • PDF with Chat bubbles off for a fixed, printable transcript.
  4. Tap Export as Text (or Word or PDF), then share the file or save it to Files.

What each transcript looks like

Text (.txt). The chat title, the date range, a blank line, then one line per message:

The date style follows your iPhone’s region settings. Photos and files appear as labels like [Photo: name].

Word, plain layout. The title and date range in bold, then for each message the sender in bold, the date and time, and the text underneath. Photos from the Messages shortcut are embedded. Because it’s a .docx, you can add a heading, highlight passages or delete what isn’t relevant. Our guide to exporting text messages to Word goes further.

PDF, plain layout. The same structure as Word, on A4 pages with “Page X of Y” in the footer.

Avoid the chat bubbles layout for a transcript of a one-to-one chat: there, the side of the bubble shows who wrote it and names aren’t printed.

Questions people ask

Can I get a transcript of a text conversation without an app?

Not as a file on the iPhone. You can forward selected messages or send screenshots. On a Mac with Messages, you can print the conversation or save it as a PDF.

Can I edit the transcript afterwards?

Yes, if you export to Word. The .docx opens in Word, Pages or Google Docs. A Text file can be edited in any text editor.

Is a transcript accepted as evidence?

That isn’t up to the format. If it’s for a legal matter, ask your lawyer which format they need, and keep the original messages on your phone.
